			<content:encoded><![CDATA[<p>I often write about how frequent distractions are, and sometimes I wonder if managers are aware of just how pervasive they really are.  Talking about distractions and interruptions can seem like a scape goat for loss of productivity.  However, they are real and time-consuming problems that every worker faces.  Some distractions interruptions are inevitable, and some are not.  It seems worth the time to discuss both.  Thus, here is an <a href="http://gmj.gallup.com/content/23146/too-many-interruptions-work.aspx#2" onclick="pageTracker._trackPageview('/outgoing/gmj.gallup.com/content/23146/too-many-interruptions-work.aspx_2?referer=');">interesting study on office interruptions</a>.  I will break down the findings in several sub-headings.</p>
<p><strong>What caused them?</strong></p>
<p>Not surprisingly, the study found that most people suffered from both internal and external interruptions.  However, it also found that most managers suffer from external interruptions, most workers distract him/herself almost as much as others do!</p>
<p><strong>How many were there?</strong></p>
<p>About every 3 minutes, the average worker faced some sort of interruption or distraction.</p>
<p><strong>How long did it take to get back on task?</strong></p>
<blockquote><p><em>When you&#8217;re interrupted, you don&#8217;t immediately go back to the task you were doing before you were interrupted. There are about two intervening tasks before you go back to your original task, so it takes more effort to reorient back to the original task. Also, interruptions change the physical environment. For example, someone has asked you for information and you have opened new windows on your desktop, or people have given you papers that are now arranged on your desk. So often the physical layout of your environment has changed, and it&#8217;s harder to reconstruct where you were. So there&#8217;s a cognitive cost to an interruption.</em></p></blockquote>

<p>So, back to the matter at hand&#8230;.Distractions and interruptions are abundant, and while many workers cause their own, this does not help determine how to deal with them.  As I previously mentioned, some distractions are necessary- email notices for meetings and the like.</p>
<p>It&#8217;s difficult to control for internal interruptions, but you can control for external interruptions.  It&#8217;s not inevitable that your employees have to be held captive by others and their noise.  A more recent development has been the use of <a href="http://www.speechprivacysystems.com/voicearrest-sound-masking-systems/what-is-sound-masking/" onclick="pageTracker._trackPageview('/outgoing/www.speechprivacysystems.com/voicearrest-sound-masking-systems/what-is-sound-masking/?referer=');">sound masking</a>.  Sound masking is low-level white noise to cover office noise (i.e. external interruptions and distractions).  Interestingly, sound masking can help workers tune out their distractions, too- they tend to focus on work instead of looking for other things to do. Thus,  <a href="http://www.speechprivacysystems.com/reducing-distractions/the-bottom-line-the-financial-impact-of-conversational-distractions/" onclick="pageTracker._trackPageview('/outgoing/www.speechprivacysystems.com/reducing-distractions/the-bottom-line-the-financial-impact-of-conversational-distractions/?referer=');">the result</a> is less distraction, more focus, fewer errors, and even lower stress levels.</p>
<p>An effective manager doesn&#8217;t micromanage every detail.  On the other hand, (s)he does provide a productivity-friendly environment.  You don&#8217;t need to worry about <a href="http://www.speechprivacysystems.com/reducing-distractions/" onclick="pageTracker._trackPageview('/outgoing/www.speechprivacysystems.com/reducing-distractions/?referer=');">every moment lost to interruptions</a>, but you can guard against unnecessary distraction.</p>

			<content:encoded><![CDATA[<p>The economy seems to be getting better {right?},but that doesn&#8217;t mean that all companies are thriving as they could be.  In fact, some are still laying off employees, while others are looking for ways to better utilize the work force they have left.  The best way to do that is to prioritize efficiency since it&#8217;s usually efficient businesses that thrive.  Here is <a href="http://www.suite101.com/article.cfm/small_business/111086" onclick="pageTracker._trackPageview('/outgoing/www.suite101.com/article.cfm/small_business/111086?referer=');">one way </a>to look at being <em>efficient </em>as it interplays with being <em>effective</em>:</p>
<blockquote><p>&#8220;Efficient&#8221; is defined as working without waste or using a minimum of time, effort and expense. But, the definition is silent about the goals of the operation. A person can be very efficient at what they are doing but still not get to where they want to be because they aren&#8217;t doing the right things. That&#8217;s where &#8220;effective&#8221; comes in. &#8220;Effective&#8221; means &#8220;having the desired result&#8221;. Once the desired overall result is defined, the tasks leading to the result can be isolated and these tasks can then be completed efficiently&#8230;.</p></blockquote>
<p>The main idea is that being efficient and being effective are not always the same thing and that they must work together to work well.  In terms of your business, your own specific goals will determine how to be <em>effective.  </em>Being <em>efficient</em> is a little more universal.  The sad truth of the matter is that the average worker wastes 2 or more hours  a day because he is <a href="http://www.speechprivacysystems.com/reducing-distractions/" onclick="pageTracker._trackPageview('/outgoing/www.speechprivacysystems.com/reducing-distractions/?referer=');">distracted</a>.  Distractions come in a  variety of forms, such as conversations, ringing and/or buzzing phones, the clickety clack of high heels down a long corridor, co-workers&#8217;  lunch orders, etc..  For any company, large or small, a loss of 2 hours per employee is not exactly efficient.</p>
<p>An excellent option for increasing efficiency, and therefore productivity, is <a href="http://www.speechprivacysystems.com/voicearrest-sound-masking-systems/what-is-sound-masking/" onclick="pageTracker._trackPageview('/outgoing/www.speechprivacysystems.com/voicearrest-sound-masking-systems/what-is-sound-masking/?referer=');">sound masking</a>.  Most people can&#8217;t work in ceaseless clamor, but at the same time, they can&#8217;t be productive in silence either.  Sound masking is like white noise in that it provides a low-level &#8220;hum&#8221; that can help workers to tune out irritating distractions that keep them from being productive.</p>

<p>As parents we often discuss and even discipline our children based on their choices, whether good or bad.  I like this technique because it keeps my kids aware of the fact that their behavior, whether good or bad, is the direct result of their choices, whether good or bad, and not, contrary to their opinion what fate forced upon them.  My husband and I believe that if we are to hold our children accountable for their choices then we must also provide the right context for good choices.</p>
<p><strong>The right tools for success</strong></p>

<p>Similarly, if you expect your employees to make good choices with their time, it&#8217;s on you to provide the right context for those choices.  And while you can&#8217;t <em>make </em>your workers more productive, you <em>can </em>give them the tools to succeed.  Complaining about worker productivity and then doing nothing about it is irresponsible management.  It&#8217;s your job to provide the right context and the best equipment for business achievement and success.</p>

<li><strong>Stress:</strong> when measured in terms of the actual physical symptoms of stress, stress was reduced by 27%</li>
</ul>

<p>As you might imagine there are literally thousands of <a href="http://lifelearningtoday.com/2007/08/23/25-tips-to-become-more-productive-and-happy-at-work/" onclick="pageTracker._trackPageview('/outgoing/lifelearningtoday.com/2007/08/23/25-tips-to-become-more-productive-and-happy-at-work/?referer=');">tips for productivity</a>.  There are so many tips not just because so many authors are writing them, but also because different things work for different people.  In addition, everyone has their own problem areas that keep them from achieving their personal best at work.  However, most <a href="http://www.davidsonstaffing.com/articles/salary/wasted-time/" onclick="pageTracker._trackPageview('/outgoing/www.davidsonstaffing.com/articles/salary/wasted-time/?referer=');">workers have 1 thing in common</a>- they all waste too much time at work.  And, whether they are aware of it or not, whether they follow Tip#2073 or not, <strong>you as the manager</strong> should be aware and should take action.</p>
<ul>
<li>Encourage your workers to assess time-wastes in their offices or cubicles.</li>
<li>Encourage them to take a few of the tips seriously and get their work spaces in order.</li>

<blockquote><p>&#8230;68% of people always turn their phones off at the movies. Almost two-thirds will tune out of meetings to read e-mails, tweet or take mobile phone calls. Half leave devices on at least sometimes when they go to bed.</p></blockquote>
<p>The article doesn&#8217;t really say, but I would guess it&#8217;s because we feel so much pressure at work to perform- missing an important call, text, or message can kill a deal and take us out of the game.  Thus, maybe we feel tense about being available at all times.</p>
<h3>Reducing Distractions</h3>
<p>Unfortunately that kind of open-door policy for technology has allowed distraction to achieve  all new heights.  The article cites a study that finds:</p>
<ul>
<li>More than half of U.S. workers waste an hour or more a day on interruptions: 60% come from electronic devices and e-mails, while the other 40% come from traditional sources, such as phone calls or chats with colleagues.</li>
